Every real-estate lead followed up, every time

CRMSalesSchedulingCommunicationProductivityAutomationEmailAnalytics

Follow Up Boss is the CRM built for real-estate teams who live and die by their response time — it centralises every lead source into one pipeline and fires action plans the instant a contact arrives. Connect it to Actionist and your agent tracks stages, logs calls, reassigns contacts, creates deals, and reacts to webhook events across your entire database — without a rep touching the CRM manually. The result: leads contacted faster, pipelines always current, and zero follow-ups falling through the cracks.

Eliminates manual work. The agent eliminates the daily manual work of logging calls, updating stages, applying action plans, and routing incoming leads — tasks that typically consume 45–60 minutes per rep per day across a team.

New buyer inquiry to full-service onboarding

When a buyer emails an inquiry through Gmail, your agent looks up their contact in Follow Up Boss, logs a note with the property details they asked about, then fires off a personalised response — and before the rep's coffee gets cold, a showing slot is blocked in Google Calendar and the team channel in Slack gets a heads-up with the buyer's budget and timeline. Fifteen minutes of co-ordination compressed to 60 seconds.

    Sales Agent
    0 min
    Agent routes on arrival

The agent reads the lead source, zip code, and language preference and assigns the right rep in Follow Up Boss before the rep opens their laptop.

Marketers manually select and apply nurture sequences after each campaign form converts — slow enough to cost the first-hour response window.

    0 min
    Campaign to action plan instantly

  • Customer Support
    18 min / week
    Post-close check-in tasks

Co-ordinators manually create 30-day, 90-day, and anniversary tasks after each closing — 18 minutes per deal across a busy team.

    Agent builds the task chain

When a deal stage moves to Closed, the agent creates all three check-in tasks in Follow Up Boss with correct due dates and assigns them to the original rep.

  • Human Resources
    7 min / week
    Rep departure handover

When an agent leaves, a manager manually reassigns their contacts one by one — a 30-minute exercise prone to gaps.

    Human Resources Agent

    DNC compliance logging

Compliance staff manually note do-not-call requests, pause sequences, and log the timestamp — a 6-minute per-contact task with real regulatory stakes.

    Legal Agent
    0 min
    Agent pauses and logs instantly

When the DNC tag is applied, the agent immediately pauses all active action plans and writes a timestamped audit note to the contact record in Follow Up Boss.

FAQs

Questions about Follow Up Boss + Actionist

How does Actionist connect to Follow Up Boss?
The recommended path is MCP: click Connect in the Apps tab, complete the Follow Up Boss OAuth flow, and the agent has permissioned access to contacts, deals, tasks, and action plans — no API key to store or rotate. For accounts that require service-account access, paste your Follow Up Boss API key (found under Admin → API) into the API Token field instead.
Which Follow Up Boss objects can the agent read and write?
The agent can read contact records (profile, stage, tags, notes, call history) and write to contacts, deals, tasks, notes, and action plans. It can also log calls, attach files to contacts, fire website events, and reassign agents. The API Request action unlocks any Follow Up Boss endpoint not yet covered by a native operation.
Can the agent trigger an action plan without sending duplicate emails to contacts already in a sequence?
Yes — use 'Create or Update Contact Without Triggering Action Plans' when you need to update a record silently (for example during a CRM import or data-enrichment sync). Reserve 'Apply an Action Plan to a Contact' for deliberate enrolments. You can also use 'Pause an Action Plan for a Contact' to halt a sequence before making changes and then resume it, preventing any overlap.
How do I avoid flooding contacts with automated messages when testing workflows?
Run your first test against a contact you own rather than a live lead. Follow Up Boss action plans only fire when explicitly applied — the agent won't enrol a contact unless you use the 'Apply an Action Plan' action or a trigger explicitly calls it. During staging, filter your webhook triggers to a test-source tag so real contacts are never touched.
What triggers are available for real-time automation?
Follow Up Boss exposes seven webhook triggers: New Appointment, New Deal, Deal Stage Updated, New Contact, Person Stage Updated, Tag Added to Contact, and Updated Contact. Each fires in real time — typical latency is under five seconds from the event in Follow Up Boss to your Actionist workflow executing its first step.
Does the agent respect Follow Up Boss user permissions and team roles?
Actionist acts with the permissions of the connected account. If you connect via MCP OAuth with an admin account, the agent can read and write across all contacts and agents on the team. For tighter scope, connect with a standard-user API key — the agent will then only access records that user can see. Never connect with a read-only account if your workflows need to write.
Can the agent handle high-volume lead imports without hitting Follow Up Boss rate limits?
Follow Up Boss enforces API rate limits (check their developer docs for the current ceiling). For bulk imports, use 'Create or Update Contact Without Triggering Action Plans' in a batched loop with a short delay between calls — 1–2 seconds per record keeps you safely under typical limits. For very large imports (10,000+ records), prefer the CSV import tool in Follow Up Boss and use the agent for post-import enrichment only.
What happens if I disconnect Follow Up Boss from Actionist?
Disconnecting revokes Actionist's access token immediately — no further reads or writes can occur. Active workflows that include Follow Up Boss steps will fail gracefully: the step errors, execution stops, and Actionist logs the failure. Your Follow Up Boss data is untouched. Reconnect at any time by going through the OAuth or API Token flow again; existing workflows resume without changes.
